About the role:

The Events Associate/Office Manager is responsible for the planning, logistics, and execution of a variety of events for Potomac, including trade shows, conferences, sporting events, staff retreats, and our annual conference. Additionally, this role will drive the logistics and efficiency of our office space. We’re searching for an experienced event planner to manage production from concept through completion, helping maintain our reputation for memorable events. The ideal candidate is passionate, creative, detail-oriented, and dedicated to providing superb client service at every turn. Additionally, they will attend the most significant events to insure execution of each project plan.

This role demands expertise in multiple aspects of the event planning process, from trade show and vendor management, to cost containment, venue scouting, equipment logistics, room setup, and client experiences. This person must also have excellent teamwork skills and an ability to coordinate responsibilities. The best candidate for Potomac is an event planner who can manage the daily details while using big-picture thinking to ensure truly unique experiences. This role will serve as a cross-functional team player, working with various teams within the company.

Qualifications:

  • 2+ years working with an RIA or RIA related company
  • Bachelor’s degree (or equivalent) in event management or related field
  • Experience in marketing or public relations
  • Experience managing promotional materials, vendors, labor, and other event logistics
  • Experience working in a highly collaborative office setting
  • Background of vendor management specifically with AV, freight, hotels, and suppliers highly desired
  • Proficient with event management software (e.g., Hapily, CVENT, and similar tools)
  • Event planning certifications; Certified Special Events Professional (CSEP), Certified Meeting Professional (CMP), and/or Certified Event Planning Specialist (CEPS)

Required Skills:

  • Proven success in event planning or coordination
  • Certified Meeting Professional (CMP) certification or equivalent preferred
  • Strong interpersonal and communication skills
  • Experience in building and maintaining positive business relationships
  • Excellent organizational skills, including multitasking, time management, and attention to detail
  • Comfort in handling pressure and making good decisions quickly
  • Ability to work onsite during events and traveling remotely to plan events, while being headquartered in our home office

Responsibilities:

  • Coordinate with internal staff, clients, and vendors to establish the requirements for an event, and serve as liaison to senior executives throughout the planning process
  • Locate resources, visit sites, and lead pre-event meetings to help staff make decisions about event design
  • Plan and facilitate logistics for all events, including contract negotiations, guest lists, venue preparation, presentation materials, catering, entertainment, transportation, equipment, decor, and marketing materials
  • Oversee client experiences from conception through post-event review; manage on-site preparations, production, and event breakdown; and ensure consistent, high-level service throughout all phases
  • Manage office logistics including supplies, events, processes, and work environment
  • Build and maintain a comprehensive database of industry contacts, vendors, and venues
  • Troubleshoot any issues that arise on event days
