Job Description

The Chief Operating Officer (COO) will report to the Chief Executive Officer (CEO) and t he ideal candidate will be responsible for ensuring operational excellence across the organization. The COO may consult on an as-needed basis with the Partners or any member of the Firm for specific purposes in coordination with the CEO. The COO’s responsibilities, which may be altered or added to from time to time, are described in more detail below.

 

Human Resources

  • Interviewing and screening applicants for available Firm positions.
  • Development and supervision of training plans for paralegals and admin personnel.
  • Counseling employees who are not complying with Firm requirements, taking appropriate disciplinary action when necessary.
  • Manage personnel records for all employees.
  • Oversight of employee onboarding and offboarding procedures, including Summer Associate program and events.

Loss Prevention

  • Oversight of conflicts of interest process and related dispute resolution.
  • Standardization and improvement of engagement letters and end of matter letters.
  • Own client/matter transitions upon lawyer exits, including file transfers and client correspondence.

Finance

  • Administration of open enrollment and leading employee benefits development.
  • Providing counsel on payroll and fringe benefits for employees.

Technology

  • Practice management, including system improvements, workflows and training.
  • Sourcing, evaluating, and implementing new technology tools to enhance Firm operations.

Facilities Management

  • Communicating with the Firm’s landlords and management of buildout/renovation projects.
  • Evaluation of office equipment in coordination with IT Director, including copy and fax machines, and other mail equipment.

The COO should assist the CEO in recruitment efforts, training lawyers, legal and non-legal professionals, and improving the total quality of the practice of law for the Firm’s attorneys. The COO is also responsible for leading logistical support in coordinating the business and social functions of the Firm.
